LLANFECHAIN HORTICULTURAL SHOW AND SPORTS COMMITTEE
Minutes of General Meeting – 12th January, 2009
Following the Annual General Meeting

1. MINUTES OF LAST MEETING    The minutes of the meeting held on 6th October 2008 were agreed and signed as a true record.

2.MATTERS ARISING:
Porthwaen Brass Band.    Dave to approach them for the 11a.m. morning slot if possible.
Cabling.  It was decided to purchase another generator similar to the one already bought.  Brad re-iterated that it was important to find out in advance what other people were bringing.   He also said that all extension cables needed to be checked before the day.
Grants.   Nita has been looking into grants and reported that we need to meet certain criteria.  Dick and Nita are going to get together to sort this out and decide who to approach.
Toilets.  A block of four Ladies and 2 Gents would cost £275 plus delivery or single portaloos would be £50 each.  It would be cheaper for each one extra. 
It was decided to order six single portaloos.
Hall.   We have to assume that the Village Hall will not be ready in time.  June suggested that we use the Tea tent as a Food Tent.   We could incorporate a Cookery Demonstration.
Climbing Wall Gwyneth had approached the organisers but had received no reply.
Bungee Run.   It was decided to rebook this.
Disco.    It was agreed that the idea of a Disco Dancing Competition should be put on hold for the following year.
Remuneration to Organisers.   Gwyneth was asked to keep a tally of her expenses and put in a bill to the Treasurer.

3. ATTRACTIONS.
Close Encounters had been booked.  These were owls which could be petted and seen up close.  
Jazz Band and Jester had been rebooked.
Kaleidoscope Drama Group were to be booked at a cost of £100
Equipment hire.   June looking into kitchen equipment for a Cookery demonstration.

4. JUDGES
Suggestions were made for Judges for the 2009 Show.  These were as follows:-

DOG SHOW:                                              Lynne and Dave to arrange.

5. CHEESE AND WINE EVENING

June would ask Christine Ffoulkes Jones from Halls Farm to give a talk on exhibiting and winning prizes at the Chelsea Garden Show. The cost would be £100.   Dates suggested were 16th or 23rd May.

Dick said that the modern Olympics started in Much Wenlock.  He has a friend who is a training officer for the Olympics and may be prepared to give a talk next year at the Cheese and Wine evening.

6. MEMBERSHIP BADGES.  
A decision was made to have Daffodil yellow as this year’s colour.
