Minutes of General Meeting – 30th June, 2009

1. MINUTES OF LAST MEETING. The minutes of the meeting held on 27th April were agreed and signed as a true record.
2. MATTERS ARISING:
(a) The galvanising of the new tent is in process and the cover will be made nearer to the time of the Show.
(b Equipment: Generator- Dick is looking on line at a Generator. This is on wheels and has handles so could be moved around easily. The cost is around £410 plus £70 delivery. It retails at around £900
Radio Mikes: Some input will be needed from Alan to liaise with Dick to check whether these will work in conjunction with the present PA system or need to run separately. Opinion was that they would need to be run separately.
Dog Show Table: The cheapest available was from the Welsh Kennel Club and would cost around £99.
(c) Another Marquee had been ordered, the same size as the Craft tent but is a frame tent. This can be used for a proposed Cookery Demonstration. In lieu of this and because there will be no cooking facilities available in the hall, catering equipment is to be hired, including a six burner cooker and 36 litre gas boiler, complete with gas. The cost will be £202.
(d)Attractions: It was decided to contact the Willow Lady. June has booked a Celtic Duo and has asked for “Jolly and lively”. They will be playing from
11 a.m./1.30 p.m.
(e) The Committee wished to thank Derek Ward for his wonderful work on our web-site. June had been looking at other sites on the Web and none of them were up to date.
(f) Cables: Brad has a good length of cable which can be used, but we will need to purchase waterproof socket outlets and a cut out socket.
(g) Due to the work being carried out on the Hall, the Show entrance would need to be altered and some thought needed to be given to this. Car parking will also need to be arranged.
(h) Cheese and Wine Evening. Once again, this was a very successful evening with an excellent speaker. There was a profit of £346.50.
4. ANY OTHER BUSINESS
(i) Gwyneth reported that the Silver trays had been ordered, Posters and fliers were being arranged and the Stewards were all in hand.
(ii) A date was arranged for the After Show Celebrations. This is to be Saturday 12th September. This is for all people who will have contributed in some way to the organisation and running of the show.
(iii) Insurance had been arranged for £425 to cover £2,000,000 Public Liability and up to £10,000 Show equipment, which included the Portaloos.
(iv) Food is to be provided by the Hog Roast, a Burger Van and a Baked Potato Van. As the W.I. had decided not to do catering this year, cakes and sandwiches would be made by the Show Committee.
(vi) Nita Duff was thanked for her hard work in producing the Schedules.
(vii) Raffle prizes would need to be supplied. Dave Shillito was providing a Box of paints and brushes as a prize in the painting competition.
(viii) The classic cars would be coming again this year.
(ix) Lynne was asked to print labels again to cover the entrance fee.
(x) Peter Lloyd has been asked to cover security for the event.
