LLANFECHAIN HORTICULTURAL SHOW AND SPORTS COMMITTEE
Minutes of General Meeting – 2nd March, 2009

1. MINUTES OF LAST MEETING.    The minutes of the meeting held on 12th January were agreed and signed as a true record.

2. MATTERS ARISING:
(a)  The Porth-y-waen Silver Band  unfortunately cannot be with us due to holiday commitments.   However, June is awaiting confirmation from the Ifton Colliery Band.
(b)Grant.  Nita and Dick have been in contact with Awards for All and should hear within the next twelve weeks.  Once we know whether we have obtained a grant we can make our purchases, including the generator.   June suggested that we also buy a cover for the stage and this was agreed.
(c) Portaloos.   June has booked six toilets including one with disabled/baby changing facilities.  We are responsible for these portaloos for theft and damage.  Lynne said the cost of insurance would be £120 in addition to the Public Liability insurance at £300.
(d) Kitchen equipment still being followed up by June.
(e) Judges

(f) Cheese and wine evening.  Confirmed for 16th May.  Christine Ffoulkes Jones from Halls Farm will give the talk.  Nita suggested that this be advertised in the Hall’s Newsletter and she will also produce a poster to advertise the event.
(g) Membership badges.   These have now been produced, in daffodil yellow.

3. ANY OTHER BUSINESS
(i)     Representative on Hall Committee     Nominations were asked for a member of the Committee to be our representative on the Hall Committee.  Gwyneth agreed to take this role.
(ii)    Kaleidoscope have been booked at a cost of £100 for two performances lasting around 20 minutes, at 2 p.m. and 3.30 p.m. 
(iii)   Press Release for Art, Craft and Photography classes has been done.  June has been inundated already with requests for stalls, including one from the National Trust.
(iv)   President.   Neville Williams was delighted to be asked and has accepted.
(v)    Power.    There is a possibility that we might still be able to use a power point in the hall if this can be arranged with the contractors.
(vi)   Banners.     The tent people charge £10 for a banner for advertising purposes.  It was agreed that two should be ordered for the Show.
